You will undertake a wide range of administrative tasks including, updating compliance and administration folders, updating the compliance and administration dashboard, and ensuring they are continuously kept up to date.Your goal will be to ensure that the departments work will be running smoothly and effectively in delivering maximum value to the organization as a whole.Key ResponsibilitiesAdministrationOpening and updating compliance and administration folders by the set standards internally.Filling forms and pulling supporting documents for business development due diligenceEnsuring that Inventory of Viamo policies and procedures are updated.Prepare memos following the instruction from the Director of Compliance and Administration.Filing and archiving compliance and administration documents.Updating all of Viamos legal entities summaries as soon as new and relevant information is sharedValidating Viamos documents that require HQ stampsMonitoring courier, mails and informing relevant stakeholders of the tracking numbersCountry IncorporationsCreating country folders using the laid down formats and templates.Ensuring that all required documents are in the right place.Making an inventory of existing documents and reporting the missing ones to the Director of Compliance and Administration for the claim and follow up with the responsible or lawyer.Compliance and Administration contact managementManaging lawyers, tax specialists, auditors, and HR specialist data contacts.Compliance and Administration dashboard managementUpdating the dashboard for the departmentInventory management:Following up with all countrys inventory for assets and equipment quarter.lyInsurance:Updating the google sheet summary and notify expiration date.Key Performance IndicatorsCountry incorporations folders content up:to:date.Compliance checklist per country up:to:dateAsset and Equipment inventory per country up:to:dateFilling and archiving guidance up:to:dateTeam and Reporting StructureReports to Director of Compliance and AdministrationProfileRequiredBachelors Degree in Business AdministrationProven experience in Administration, and logistics. Minimum 2 years.Understanding of Administration policies, procedures, and compliance.Outstanding knowledge of MS Office; Google Suite.Excellent written and oral communication in French.Proficiency in the English Language.
